Collect enquiriesAdd rows or import a file. Someone checks for repeat buyers and fills in missing details.Capture enquiries from a connected Facebook form. Review contact matches and duplicates in the CRM.
Assign a buyerUse an owner column or assign a comment. Agree who updates the row and carries the next task.Assign a buyer to a salesperson. Their open tasks move with them when ownership changes.
Follow upFilter by next-contact date and work through the list. Cell-change email rules are available on eligible accounts.Schedule the next contact against the buyer and work from due tasks. Messaging automation needs separate setup.
Share the conversationKeep notes and links in the sheet. The WhatsApp conversation remains in the messaging account your team uses.Read and reply through the connected WhatsApp inbox, with the buyer’s communication history available to your team.
Track plotsMaintain a status column and protect editing ranges. Your team checks each hold or booking before changing availability.Record holds and bookings against plots. Held, booked and sold plots have controls that restrict direct changes.

Sheets already supports shared editing, comments and version history. Scripts and add-ons can extend it further. The useful question is how much of your sales process you want to configure and maintain. Sources and comparison scope ↓

Stay with a spreadsheet when

You can keep the work in view.

A small team, a manageable list and a habit of updating it can be enough. Sheets is flexible, familiar and easy to adapt as your process changes.

Consider a CRM when

The handovers need more structure.

Several people share buyers, follow-ups or plot inventory. You need the owner, next action and conversation attached to the same buyer record.

03 / If you decide to move

Start with a small,
checked list.

Moving contacts is one part of the change. Your team still needs to agree who owns each buyer and what happens next.

  1. Clean the contact details.

Review names, phone numbers and email addresses. Keep a copy of the original sheet and resolve obvious duplicates.

  2. Map the supported fields.

The contact import supports name, phone and email. Extra columns, old chat history and spreadsheet formulas need a separate review; they don’t all carry across.

  3. Check the records, then assign.

Review the imported buyers, choose an owner and set the next contact. Importing a file does not assign people or send messages.

Google’s documentation covers sharing, comments, version history and protected ranges, and conditional email notifications. Notification availability depends on the account.

This comparison uses a shared Google Sheet with manual WhatsApp. It does not assess every spreadsheet product, custom integration or add-on.

thingswetried descriptions reflect the current land-sales workflow. Facebook and WhatsApp connections require account permissions and setup; automated messaging also requires consent and the appropriate sender/template approvals.
